We do not use your personal information to make decisions about you solely by automated means that have legal or similarly significant effects.
4. Our lawful bases for using personal information
We rely on one or more of the following lawful bases under UK data protection law:
| Lawful basis | When we use it |
|---|---|
| Contract or steps at your request before entering a contract | To provide a quote, arrange a booking, deliver a service, collect payment and communicate with you about your booking. |
| Legal obligation | To keep waste transfer notes and other records required by environmental, waste, tax or other applicable laws, and to respond to lawful requests from regulators or public authorities. |
| Legitimate interests | To respond to general enquiries, manage and improve our business, maintain appropriate business records, protect our property and people, secure our systems, prevent or investigate fraud, and handle disputes. We consider the effect on your rights and use this basis only where our interests are not overridden by yours. |
| Consent | To send direct marketing where consent is required, use non-essential analytics cookies, or use a review or photograph for publicity where consent is required. You may withdraw consent at any time. |
If you do not provide information we need to fulfil a booking or meet a legal requirement, we may be unable to provide the relevant service or complete the required records.
5. Who we share information with
We do not sell your personal information. Where necessary for the purposes described above, we may share it with:
- waste processing or disposal partners involved in handling waste from a job;
- payment providers that process payments securely;
- IT, website, communications and storage providers that support our business systems;
- professional advisers, such as accountants, insurers or legal advisers;
- regulators and public authorities, including Natural Resources Wales, where required or appropriate; and
- law enforcement, courts or other parties where disclosure is required by law, necessary to protect someone’s rights or safety, or needed to establish, exercise or defend legal claims.
Some organisations process information on our instructions under a written agreement. Others, such as certain payment providers or public authorities, may handle it as independent controllers and provide their own privacy information.
If you contact us using WhatsApp, your information will also be handled by WhatsApp/Meta under their own terms and privacy information. You can contact us by telephone or email instead if you would prefer not to use WhatsApp.
6. International transfers
We do not make unnecessary transfers of personal information outside the UK. Some of our service providers, including online communications or technology providers, may process information in other countries. Where personal information is transferred internationally, we take steps to ensure the transfer is permitted under data protection law, such as relying on an adequacy decision or using appropriate safeguards.
7. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including to meet legal, accounting or reporting requirements and to deal with claims.
Our usual retention approach is:
- Waste transfer notes: generally at least two years for standard waste transfer records. Longer periods may apply to particular waste records, including hazardous waste records where applicable.
- Financial and tax records: normally six years, in line with applicable record-keeping requirements.
- Enquiries that do not lead to a booking: normally no longer than 12 months after our last meaningful contact, unless we need the information to deal with a complaint or claim.
- Booking and service records: for as long as needed to provide the service and manage our business records, and for any further period needed to meet legal obligations or deal with claims.
- CCTV footage: retained for a limited period under our CCTV retention arrangements and then overwritten, unless footage needs to be kept for an incident, investigation or legal claim.
- Marketing records: until you withdraw consent or we no longer have a reason to retain them. We may keep a limited record of your preference so we can respect your request not to receive marketing.
- Reviews and publicity photographs: while we continue to use them for the purpose agreed, unless you withdraw your consent or ask us to remove them, subject to any need to retain a record of the original permission.
We may keep information for longer where the law requires it or where it is necessary to establish, exercise or defend legal claims.
